President Bill Hamby called the IMAA Winter Board Meeting to order at 8:15am. The Vice-President, Secretary/Treasurer, High Flight Editor, and 9 Directors were present.
Directors absent were: Dist.1, Tim Adams, Dist. 7, James H. Repp, Dist. 8, David Oates.
AMA President Dave Mathewson was present and gave an update to the group. Of note were the new AMA Marketing program, and the presentations for municipalities to preserve flying sites. He also reported on some challenges encountered with electronic voting but it could be ready by 2012.
The minutes of the June 18, 2009 as printed in the fall issue of HighFlight, were approved by acclamation.
Reports by the president and vice-president were received. The Vice President submitted the Contingency Plan for the Secretary Treasurer position as requested by the previous meeting.
Printed reports from the Sanction Coordinator, David Moro and Safety Officer, Charlie Spencer were distributed. Sanctions were down from 107 to 91. There been 35 sanctions to date in the New Year. Charlie Spencer is now located in Oklahoma.
Editor Taylor Collins reported that revenues are down but we are working to get advertisers to also use our new and better website.
Motion by Josh Bunn, with second by Ron Shonk, that we accept the reduction of the amount of copies of the magazine that will be printed during the year. Individual directors and officers will still receive their 10 copies of each issue but not their individual mailed copy. The distribution of copies for trade show and event purposes shall be reduced to meet appropriate needs. Motion passed unanimously.
The Secretary/Treasurer reported that the membership is 5,858. Cash in the bank as of Dec. 31, 2009, is $28,075.00. It may be necessary to dip into the reserve if membership and advertising income does not increase.
Motion by Ken Shapiro, seconded by Josh Bunn to approve the 2010 budget for IMAA as presented by Secretary/Treasurer Don Vineyard. Motion passed unanimously.
Committee reports were presented as follows: Ken Shapiro, (Youth Program); and, Frank Fells, (Training Program). Josh Bunn (Website) reported positive results for the website during its initial 45 days. He advised the board that to date, there had been no paid advertising for the web. Tom Griffith (Dist VI) and Randy Butz (Dist V) volunteered to solicit advertisers for the website with a goal of $5,000 for the next year. It was also agreed to open the classified ads to non-members on a trial basis to encourage them to join IMAA.
Rally of Giants 2011: Tom Griffith reported that initial planning is underway for the ROG 2011 at Muncie. They are awaiting approval of a date for the event
Motion by Brian Wattie, seconded by Pete Melin that the IMAA proceed with a “Build a Big Bird” promotion in accordance with the presented format and schedule (as modified). The Promotional Chair will be Brian Wattie; Media Coordinator, Pete Melin; Chief Judge, Ken Shapiro. Motion passed unanimously.
Motion by Brian Wattie, seconded by Pete Melin, that IMAA, through the Editor, take the initial steps to implement an electronic version of High Flight. The scope and content is to be determined by the Editor, for an initial trial period to allow the Board to assess the future direction of an “e-zine” version of High Flight. The cost shall not exceed $1,000.00 and the target date shall be the summer issue of High Flight. Motion passed unanimously.
Motion Randy Butts, seconded by Josh Bunn, to create a 5-year plan that includes the mission statement, a vision statement and a motto, to be implemented and posted on the website by June 10, 2010. Randy Butts will be committee chairman; Josh Bunn will be the assistant; Taylor Collins will do the graphic design. Motion passed unanimously.
Motion by Jeff Stremick, seconded by Randy Butts, that Board approves the expenditure of $1,800.00 for IMAA flags/banners to be used as promotional items at events. Motion passed unanimously.
The meeting was adjourned by acclamation.
During the period from June 19, 2009 to December 31, 2009 the following e-mail motions were acted upon:
Motion by Brian Wattie, Director of Dist. 12 and seconded by David Oates, Director of Dist. 8, that the attached revised IMAA Rally of Giants Guidelines, dated July 20, ’09, be approved and posted on the IMAA Website. Motion passed.
Motion by Ken Shapiro, seconded by Pete Melin, that the 2010 Winter Board of Directors meeting will take place at the AMA Convention at Ontario, CA on Friday, Jan. 8, 2010 at 8:00 a.m. IMAA will pay for lodging at the Best Western, Ontario Airport on Jan. 7 and 8, along with 3 days per diem. Rooms are to be double occupancy so if you wish a private room, IMAA will only pay 50% of it. Exception is only if there is an odd number of attendees. Rental cars will not be needed. If you wish one it will be at your expense. Extra days lodging will also be at your expense. For the new attendees, the motel has a free shuttle on demand to and from the airport. The convention is a short walk. The attendees should mention IMAA rates ($79.34 including tax for double occupancy) when confirming their rooms with the hotel. Telephone: 909-937-6800. You will be reimbursed when Don Vineyard is given your voucher for lodging, per diem and airfare, if you have not already been reimbursed. We will have an informal get together Thursday at 7:00 p.m. at the hotel just as we did last year in the room above the breakfast room. In order to save cost it is recommend that you book airfare as soon as possible. The attendees will be President, Vice-President, Secretary/Treasurer, 12 Board members and the Editor. Motion passed unanimously.
Motion made by Josh Bunn, seconded by David Oates to accept the new Website advertising fees and structure.
Motion passed unanimously.
Motion by Josh Bunn, seconded by Randy Butts, to accept the new Website as designed by Roy Barrow for a cost of $6,000 and to accept the hosting and maintenance fee of $300.00 per month which will be paid by the quarter. Motion passed unanimously.
